EnviroSystems Management, Inc. is a small, successful woman-owned environmental consulting firm based in Flagstaff, Arizona since 1999.  We complete contract work throughout the Four Corner states in environmental regulatory compliance and permitting, cultural and natural resources management, GIS, public relations, and noxious weed management. We are seeking an experienced Office Manager to join our team. Our ideal candidate will be responsible for the general operation of our office.  Some of the duties are organizing and maintaining office operations and procedures, Human Resource liaison, Safety Officer duties, assisting staff with everyday needs, and much more. To be a successful hire, you will need to have prior experience in office management and be proficient in Microsoft Office Word and Excel and have working knowledge of Quick Books.  We have a diverse clientele base, and the successful applicant must be comfortable communicating orally and in writing across disciplines in all types of settings. The successful candidate will work independently with limited supervision and needs to be a team player to work with senior staff in carrying the company into the future. The position reports directly to the President/Owner.  This is a full-time position and is available October 18, 2021.


  • Provide support to staff – day-to-day needs / set-up new jobs / review client contracts / assist with report production / incoming and outgoing mail and shipments
  • Office management – operations and procedures / develop standards that enhance operational efficiency / record retention / manage auto, liability, WC insurances / plan company events
  • Human Resources – practices and procedures / keep employee handbook current / E-Verify / employee dental, health, vision insurances
  • Safety Officer – keep employee safety manual current / monitor health safety and policies
  • Maintain condition of office and office equipment – arrange for repairs, cleaning, inventory control and supply management, replace consumables/components as needed on copier/printers
  • Company vehicles – track truck usage / arrange for repairs / schedule regular maintenance
  • Accurate employee record keeping – confidentiality, security, retention, and disposal of employee records
  • Work closely with Controller / Coordinate with in-house computer person and IT (offsite)
  • Keep 3rd party contractor requirements current / manage relationships with vendors and service providers
  • Responsible for certificates, licenses, permits, registrations – city, county, federal, state, vendors


Education and Experience

  • High school diploma, GED or equivalent
  • Proven experience as an Office Manager with 3 to 5 years’ experience
  • Proficient in Microsoft Office (Excel, Outlook, Word) / working knowledge of Quick Books

  • Well organized with multi-tasking skills and ability to prioritize work / planning and organization
